TalentLynk uses the WhatsApp Business Platform so your team can send and receive WhatsApp messages in the Smart Inbox and sync them to your CRM.
Before a new number can be used, WhatsApp needs to confirm that you control it. It does this by making an automated voice call and reading out a six-digit verification code.
This guide is for setting up a new WhatsApp number. If the number is already used in the WhatsApp or WhatsApp Business mobile app, registered with another provider, or attached to a different WhatsApp setup, do not remove or migrate it yourself. Contact TalentLynk Support via the chat interface first.
Before you start
Make sure all of the following are true:
- You are an admin with permission to manage integrations.
- Your WhatsApp integration is connected in TalentLynk.
- The number has already been added to the WhatsApp Business Account connected to TalentLynk.
- You can answer a normal voice call on the exact number you are verifying.
- The number rings a person directly and does not have an interactive voice response (IVR) system or automated phone menu.
Important
WhatsApp's automated verification call cannot press a number, choose a menu option, enter an extension, or ask for a particular person. If callers hear “Press 1”, “Choose from the following options”, or any similar menu, the verification will not work. Temporarily route the number directly to a person before requesting the code.
Where to find your WhatsApp numbers
1. Open Settings in TalentLynk.
2. Open Integrations.
3. Select WhatsApp.
4. Scroll to Phone numbers.
You will see each number available in the WhatsApp Business Account connected to TalentLynk.
How to verify and register a number
1. Check that you have the correct number
Find the number you want to set up and check the full country code and number carefully.
If the number is wrong, or you do not recognise the business name shown underneath it, stop and contact TalentLynk Support. Do not verify a number unless you are certain it belongs to your business.
2. Request the verification call
Select Call with code once.
WhatsApp, which is operated by Meta, will place an automated voice call to that number. Answer the call and write down the six-digit code that is read aloud.
- Keep a pen or notes app ready before selecting the button.
- Make sure the number rings a person directly. The verification call cannot navigate an IVR, phone menu, or extension prompt.
- The call may come from a number you do not recognise, so make sure unknown calls are not being blocked.
- Do not repeatedly select **Call with code**. Repeated requests can cause WhatsApp to make you wait before trying again.
3. Enter the six-digit code
Enter the six digits in the Verification code field, then select Verify.
TalentLynk will:
1. Send the code to WhatsApp to prove that you control the number.
2. Register the verified number with the WhatsApp Cloud API.
Keep the page open until the verification request finishes. Do not select Verify more than once while the button is loading.
How to know the number is ready
The setup is complete when the number shows:
- verified for verification; and
- cloud api for registration.
You may also see connected as the service status. The quality badge is separate and does not show whether the six-digit code worked.
Once the number is ready, the verification buttons disappear. You do not need to request another code.
If you see “Complete registration”
Sometimes WhatsApp accepts the code, but the final registration does not finish immediately. In this case, TalentLynk shows **verified**, **not registered**, and a **Complete registration** button.
Your ownership check has already succeeded. Do not request another verification call.
1. Select Complete registration once.
2. Wait for the request to finish.
3. If the number still shows not registered, refresh the page once and check it again.
4. If an error tells you when to retry, wait for the full time shown before selecting the button again.
What the status badges mean
Verification
- not verified — the number still needs a six-digit code.
- expired — the previous verification is no longer valid. Request one new call when TalentLynk allows you to retry.
- verified — WhatsApp has confirmed that you control the number.
Registration
- not registered — the number is not yet registered with the WhatsApp Cloud API.
- cloud api — registration is complete.
Service status
- connected — the number is connected normally.
- Any warning or restricted status, such as pending, flagged, rate limited, offline, or paused, is separate from the six-digit verification step. Do not keep requesting codes to fix it. Refresh once, then contact TalentLynk Support if the status remains.
Quality
- green, yellow, and red describe WhatsApp messaging quality.
- unknown or n/a normally means there is not enough quality information yet.
The quality badge does not tell you whether the number has been verified or registered.
Troubleshooting
No phone numbers are shown
Check that:
- the WhatsApp integration says it is connected;
- the number was added to the same WhatsApp Business Account that was shared with TalentLynk; and
- you are looking at the correct TalentLynk account.
Refresh the page once. If the number is still missing, contact TalentLynk Support or your account manager. Include the number, with its country code, and the name of the WhatsApp Business Account you expected to see.
The verification call does not arrive
Before requesting another call:
- Confirm that the displayed number is correct.
- Call the number yourself from another phone to make sure it can receive voice calls.
- Listen to what happens when the call connects. If you hear an IVR, phone menu, or extension prompt, temporarily route the number directly to a person before trying again.
- Check call forwarding, reception queues, voicemail, spam filtering, and settings that block unknown callers.
- Ask anyone who may answer the line to expect an automated WhatsApp verification call.
- Wait for the current request to finish and follow any retry time shown in TalentLynk.
If the line can receive calls but the verification call still does not arrive, wait until TalentLynk allows another attempt and request the code once more.
The code is not accepted
- Enter exactly six digits. Spaces, letters, and punctuation are not needed.
- Check that you did not reverse or mistype any digits.
- If you requested more than one call, use the code from the most recent call.
- If the status says **expired**, request one new code and enter it promptly.
- If TalentLynk tells you to wait, do not request or submit another code until that time has passed.
Never send the verification code by email or chat. Enter it only on the WhatsApp integration page in TalentLynk. TalentLynk Support does not need the code to troubleshoot your setup.
TalentLynk says to try again later
WhatsApp limits how often codes and registration requests can be attempted. TalentLynk will show how long you need to wait when WhatsApp provides that information.
Wait for the entire time shown. Trying again early or repeatedly selecting the button may extend the problem. When the wait is over, make one new attempt.
The number is verified but still not registered
Do not request another call. Select **Complete registration** and wait for it to finish.
If it fails:
1. Follow any retry time shown.
2. Refresh the page once.
3. Select **Complete registration** one more time after the wait has passed.
4. Contact TalentLynk Support if it still fails.
The page still shows the old status
WhatsApp can take a short time to return an updated status after verification or registration.
Wait for the current action to finish, then refresh the page once. Do not request a new code if the number already shows **verified**.
You cannot open or manage the WhatsApp integration
Only users with permission to manage integrations can complete this setup. Ask an admin from your company to perform the verification or update your permissions from Settings > Users.
The number is already used with WhatsApp or another provider
This new-number setup flow is not designed to move an existing WhatsApp number between apps, providers, or hosting types.
Do not delete the number, disconnect its current provider, or remove it from a WhatsApp Business Account without guidance. Contact TalentLynk Support and explain where the number is currently used.
Frequently asked questions
Can the code be sent by SMS?
TalentLynk currently requests the code by automated voice call. Make sure the number can receive a voice call before you start.
Can I verify several numbers?
Yes. Complete the process separately for each number. Each number receives its own code.
Should I request another code after seeing “verified”?
No. verified means the ownership check succeeded. If the number is not yet registered, use Complete registration instead.
Does a yellow or red quality badge mean verification failed?
No. Messaging quality and number verification are different. Check the verification and registration badges to confirm setup.
What should I send to Support?
Send:
- the full phone number, including country code;
- a screenshot of the number card and its status badges;
- the exact error message;
- the approximate time of the failed attempt; and
- whether the number received the voice call.
