πŸ’¬ Using WhatsApp in TalentLynk

TalentLynk supports WhatsApp messaging through the WhatsApp Business API. This allows all WhatsApp conversations to be visible in the Smart Inbox and synced to your CRM.

Where to find WhatsApp

  1. Open the Smart Inbox.

  2. Select a contact.

  3. At the bottom of the screen, choose WhatsApp as the channel.

WhatsApp versions (and what TalentLynk uses)

WhatsApp has three different applications:

  • WhatsApp Personal App

  • WhatsApp Business App

  • WhatsApp Business API (used by TalentLynk)

These do not share data with one another.


Messages sent from your personal WhatsApp or WhatsApp Business App cannot appear in TalentLynk or sync with your CRM.

TalentLynk uses the API, which is the only version WhatsApp allows for message syncing and logging.

Understanding the 24-hour rule

WhatsApp Business API requires businesses to follow a 24-hour session rule:

  • If the contact has not replied in over 24 hours or you are contacting them for the first time, you must start the conversation using a WhatsApp template.

  • If the contact replied within the last 24 hours, you can send normal free-text messages.

Using WhatsApp templates

If you are outside the 24-hour window:

  1. Pick a template from the list.

  2. Personalise the variables if required (e.g., contact name, your name).

  3. Send the template.

You can create up to 6,000 templates per TalentLynk account.
If you need new ones, contact [email protected] or your Operations/IT team.

When the contact replies

As soon as the contact sends any message, the free-text box opens automatically.

You can then write anything you like for the next 24 hours.

If 24 hours pass without a reply, the box closes again and you will need to use a template to restart the conversation.

CRM syncing

All WhatsApp conversations sent through TalentLynk:

  • appear in your Smart Inbox

  • sync automatically to your CRM

  • show which consultant messaged the contact

Messages sent outside TalentLynk (personal WhatsApp, WhatsApp Business App) do not sync.
